Privacy policy
This page explains what personal data Pixel Signs collects, why we collect it, who we share it with, and what you can ask us to do about it. It is written to Singapore's Personal Data Protection Act 2012, and it is written in plain language rather than legal language, on purpose.
If anything here is unclear, message us and we will explain it.

Who we are
The company behind this policy
Pixel Signs is the trading name of [Full Registered Company Name Pte. Ltd.], UEN [UEN], a company registered in Singapore. We design, supply, and install signage for businesses across Singapore.
In this policy, "we", "us", and "our" mean [Full Registered Company Name Pte. Ltd.]. "You" means anyone who visits pixelsigns.sg, messages us, or works with us on a signage job.

What we collect
The information we hold
When you fill in our contact form
We collect what you type: your name, business name, email address, phone number, the kind of sign you are after, where it is going, and anything you write in the message field. If you attach a photo or a logo file, we receive that too.
We only ask for what we need to quote your job. Nothing on the form is there for any other reason.
When you message us on WhatsApp
Your name, WhatsApp number, and business name
Photos you send of your shopfront, unit, or existing signage
Your site address, unit number, and access details
Artwork, logos, and design files you send us
The content of our conversation
If you email us instead, we receive whatever you include in the email and its attachments.
When you browse the site
We automatically receive your IP address, browser and device type, the pages you view, and how you arrived, through our hosting and analytics tools.
Our sign explorers and Sign Finder work entirely in your browser. Your selections are not sent to us or stored on a server. They are only used to pre-fill a message, and that message reaches us only if you choose to send it.

About photos of your premises
Photos of a shopfront or an office sometimes capture people in the background. We use those photos only to understand your space and specify your signage. We do not publish a photo containing an identifiable person without asking you first.
What we never ask for
We do not collect NRIC or FIN numbers. We do not store credit or debit card numbers. If anyone claiming to be from Pixel Signs asks you for either, it is not us.

What we use your information for
We use personal data for these purposes and no others:
Answering your enquiry and preparing a quote
Designing, specifying, and producing your signage
Arranging delivery, site survey, and installation
Invoicing you and keeping the accounting records Singapore law requires
Handling warranty, repair, and support requests after installation
Understanding how the website is used so we can improve it
Measuring which pages and ads produce enquiries
Sending you occasional updates about our work, if you have asked to receive them
If we ever want to use your information for something outside this list, we will ask you first.

WhatsApp and AI
How our WhatsApp channel works
WhatsApp is our main way of talking to customers, so it deserves its own section.
When you message our WhatsApp Business number, the conversation is handled through our messaging platform. An AI assistant reads your first messages and helps gather the basics: what kind of sign, roughly what size, where it is going. A person at Pixel Signs reviews every enquiry and handles the quote. The AI does not price your job, approve anything, or make a decision about you on its own.
Your conversation history is stored in respond.io so that whoever picks up your enquiry can see what has already been discussed. WhatsApp itself is operated by Meta, and its handling of your messages is governed by WhatsApp's own terms and privacy policy.
If you would rather not use WhatsApp, use the contact form or email us at [sales@pixelsigns.sg] and we will work that way instead.

Cookies
Cookies and tracking on this site
Cookies are small files a website stores on your device. We use three kinds.
Necessary. Needed for the site to load and work. These are always on.
Analytics. Google Analytics 4, which tells us how many people visit, which pages they read, and where they arrive from. It is reported in aggregate, not read as individual profiles.
Advertising. Google Ads, which tells us which advertisement produced an enquiry. This is how we know which of our ads are worth running.
Analytics and advertising cookies only load if you accept them in the banner shown on your first visit. You can change your choice at any time using the cookie settings link in the footer, and you can block or delete cookies in your browser settings. Blocking them will not stop the site from working.

Who sees it
Who we share your information with
We do not sell, rent, or trade personal data. We share it only with the parties who help us do the work, and only the part of it they need:
Our website host, which stores the site and any enquiry you send through it
Our messaging and enquiry platform, where WhatsApp and contact form enquiries are handled
Our analytics and advertising providers, which tell us how the site is used and which advertisement produced an enquiry
Our email provider, which handles our business email
Our installation team, who receive your name, site address, contact number, and access details so they can install your sign
Our accounting and invoicing providers, for billing and statutory records
Every provider we use is bound by contract to handle your information only on our instructions and to protect it appropriately. If you want to know which providers we use, ask us and we will tell you.
We may also disclose information where Singapore law requires it, for example to a court, a regulator, or a government agency acting within its powers.

Overseas
When your information leaves Singapore
Like most websites, ours runs on international infrastructure. Our website host, messaging platform, and analytics provider store data on servers outside Singapore.
Where personal data is handled overseas by these providers, we take reasonable steps to ensure it is protected to a standard comparable to the PDPA, through the data processing terms we agree with them.

How long
How long we keep things
We keep personal data only as long as we have a reason to.
Enquiries that do not become jobs: 12 months from the last message.
Quotes that are not accepted: 24 months.
Customer and job records, including artwork and site details: 7 years after the job, to cover warranty and the record-keeping periods Singapore tax law requires.
Website analytics: Up to 14 months, then deleted or aggregated.
Marketing contacts: Until you withdraw consent.
When a retention period ends, we delete the data or put it beyond use.

Security
How we protect it
We keep the site on HTTPS. We limit access to customer information to the people who need it. Our accounts use strong passwords and two-factor authentication where the platform supports it. We choose established providers who publish their own security practices.
No system is completely secure, and we are not going to pretend otherwise. What we can commit to is that if a data breach happens and it meets the thresholds in the PDPA, we will assess it promptly, notify the Personal Data Protection Commission within the time the law requires, and tell you directly if you are affected and the breach is likely to cause you significant harm.

Your rights
What you can ask us to do
Under the PDPA you can:
Ask what we hold. Request a copy of the personal data we hold about you and how we have used it in the past year.
Ask us to correct it. Tell us something is wrong and we will fix it and pass the correction to anyone we shared it with.
Withdraw consent. Tell us to stop using your data for a given purpose. We will act on it, and we will tell you plainly if withdrawing means we can no longer deliver something, for example a warranty claim we cannot process without your job record.
Ask us to delete it. We will delete what we are not legally required to keep.
Email us using the details below. We will respond within 30 days. If we need longer we will tell you why and give you a date.
There is no charge for a reasonable request.

Marketing
Marketing messages
We will only send you marketing messages if you have given us consent, or if you are an existing customer and the message relates to work of the kind we have already done for you.
Every marketing message identifies us and includes a way to opt out. Opting out takes effect quickly and we will not contact you for marketing again unless you ask us to.
We follow Singapore's Do Not Call provisions.
Replying to your enquiry, sending your quote, and updating you about your job are not marketing. Those messages continue for as long as we are working together.

Other sites
Links to other websites
Our site links to other places, including WhatsApp, Google Maps, and our social profiles. Once you leave pixelsigns.sg, this policy no longer applies. Their privacy practices are their own.

Children
Young people
Our services are for businesses. We do not aim any part of this website at children and we do not knowingly collect data from anyone under 13. If you think we have, tell us and we will delete it.

Changes
Updates to this policy
We update this page when our tools or practices change. The date at the top always shows the current version. If a change materially affects how we handle your data, we will make that clear rather than quietly editing the page.
